Event Tent Rental Terms, Conditions & Liability Agreement These Terms and Conditions apply to the rental of our 20x40 premium white PVC event tent and any related rental items, delivery, pickup, setup, or service options provided by our business. By booking, paying for, receiving, picking up, or using the tent, the customer agrees to the terms below. 1. Rental Item The rental includes a 20x40 premium white PVC event tent, measuring approximately 40 feet long by 20 feet wide, with approximately 800 square feet of covered space. The tent may include removable sidewalls, zippered doors, windows, poles, frame parts, ropes, anchors, stakes, and other related components. 2. Rental Plans Customers may choose from the following service options: Self Service: Customer picks up the tent, transports it, sets it up, takes it down, and returns it. Delivery Only: We deliver the tent to the event location. The customer is responsible for setup and takedown. We return to pick up the tent. Delivery & Setup: We deliver and set up the tent. We return after the event to take down and pick up the tent. The customer is responsible for selecting the correct plan and understanding what is included before booking. 3. Customer Responsibility The customer is responsible for the tent and all rental items from the time they receive the equipment until it is returned to us or picked up by us. The customer agrees to keep the tent clean, secure, properly used, and protected from damage, misuse, theft, weather damage, stains, burns, cuts, tears, broken parts, missing parts, or other loss. 4. Damages, Loss, and Repair Costs The customer agrees to pay for any damage, loss, cleaning, repair, or replacement costs caused during their rental period or event. This includes, but is not limited to: Tears, cuts, holes, burns, stains, or damage to the tent fabric Bent, broken, lost, or damaged poles, frames, stakes, ropes, sidewalls, doors, windows, bags, or accessories Damage caused by improper setup, improper takedown, dragging, overloading, misuse, weather exposure, fire, heat, sharp objects, cooking equipment, decorations, tape, glue, staples, nails, zip ties, or hanging items Excessive dirt, mud, food, drink, wax, paint, marker, grease, smoke, or odor Missing parts or failure to return all rental items If the tent or any part of the rental item is damaged beyond reasonable repair, the customer agrees to pay the full replacement cost. 5. Setup and Takedown Liability For Self Service and Delivery Only rentals, the customer is fully responsible for safely transporting, lifting, carrying, installing, securing, taking down, packing, and returning the tent. The customer understands that the tent may be heavy, bulky, and may require multiple capable adults to safely handle. We are not responsible for injuries, accidents, property damage, vehicle damage, lifting injuries, falls, cuts, pinches, back injuries, or any other harm caused during customer pickup, loading, unloading, transportation, setup, use, takedown, repacking, or return of the tent. 6. Site Conditions The customer is responsible for providing a safe, suitable, and accessible setup location. The area must be level, clear, and free from hazards including underground utilities, sprinkler lines, electrical wires, septic systems, rocks, sharp objects, tree branches, unstable ground, or other unsafe conditions. The customer is responsible for identifying and marking any underground utilities or hazards before setup. We are not liable for damage to underground utilities, sprinkler systems, landscaping, driveways, patios, sidewalks, lawns, or other property when the customer fails to disclose hazards or requests setup in an unsafe or unsuitable area. 7. Weather and Wind Disclaimer The tent is intended to provide shade and event coverage, but it is not a permanent structure and should not be used during dangerous weather. The customer is responsible for monitoring weather conditions before and during the event. The tent must not be used during high winds, severe storms, lightning, hail, heavy rain, flooding, snow, ice, or unsafe weather conditions. If weather becomes unsafe, the customer must stop use of the tent and take reasonable steps to protect people, property, and the rental equipment. We are not responsible for injuries, event interruption, cancellations, weather damage, property damage, or loss caused by weather conditions. 8. Fire, Heat, and Cooking Restrictions Although the tent material may be fire-resistant, it is not fireproof. Open flames, grills, fire pits, heaters, fireworks, candles, smoking, cooking equipment, or any heat source must not be placed inside, against, or too close to the tent. The customer is responsible for fire safety and agrees to follow all local fire codes, event rules, and safety requirements. Any damage caused by heat, flame, smoke, cooking, or fire will be charged to the customer. 9. Permits and Local Requirements The customer is responsible for checking and obtaining any required permits, approvals, HOA permissions, park permissions, venue approvals, fire marshal approvals, or city/county requirements related to tent use. We are not responsible for denied permits, event shutdowns, fines, penalties, or legal issues caused by the customer’s failure to obtain proper approval. 10. Decorations and Attachments The customer must not attach decorations, lights, banners, signs, balloons, flowers, tape, glue, staples, nails, screws, zip ties, or hanging items in a way that damages the tent fabric, frame, walls, doors, windows, or accessories. Any damage, residue, staining, holes, tears, or broken parts caused by decorations or attachments will be charged to the customer. 11. Cleaning and Return Condition The tent and all rental items must be returned in the same general condition they were received, except for normal use. Excessive cleaning, stains, mud, food, drink, smoke, wax, grease, or odor may result in additional cleaning fees. For Self Service rentals, the customer must properly dry, fold, pack, and return all items. Returning the tent wet, muddy, improperly packed, or incomplete may result in additional fees. 12. Late Return or Extended Use The rental must be returned or made available for pickup at the agreed time. Late returns, inaccessible pickup locations, or extended use may result in additional rental fees. The customer is responsible for making sure the tent is ready for pickup or return on time. 13. Access for Delivery and Pickup For delivery or pickup services, the customer must provide safe and reasonable access to the event location. If we cannot access the site due to locked gates, blocked driveways, unsafe conditions, animals, incorrect address, or customer delay, additional fees may apply. 14. Safety During Event The customer is responsible for the safety of all guests, vendors, children, attendees, and property during the event. The customer agrees not to allow climbing, hanging, pulling, leaning, rough use, or unsafe activity around the tent. We are not liable for injuries, accidents, guest behavior, vendor actions, customer misuse, or property damage that occurs during the rental period. 15. No Liability for Event Losses We are not responsible for event cancellation, delay, interruption, loss of business, lost income, vendor issues, guest issues, weather problems, venue problems, permit problems, or any indirect or consequential damages related to the rental or use of the tent. 16. Customer Assumption of Risk The customer understands that renting, transporting, setting up, using, and taking down a large event tent involves risks. By renting the tent, the customer voluntarily assumes all risks related to transportation, setup, use, takedown, weather, site conditions, guest safety, and event activity. 17. Indemnification The customer agrees to defend, indemnify, and hold harmless our business, owners, employees, contractors, and representatives from any claims, damages, injuries, losses, costs, expenses, or legal fees arising from the customer’s rental, transportation, setup, use, misuse, event, guests, vendors, property conditions, weather conditions, or failure to follow these terms. 18. Right to Refuse or Cancel Service We reserve the right to refuse, cancel, or stop service if the location, weather, ground conditions, customer conduct, safety concerns, access issues, or event conditions are unsafe or unsuitable. Safety decisions are made at our discretion. 19. Payment, Deposit, and Fees Payment, deposits, delivery fees, setup fees, cleaning fees, damage fees, replacement fees, late fees, and any other charges must be paid as agreed at booking or upon request. Any unpaid damage, replacement, cleaning, or late fees remain the responsibility of the customer. 20. Agreement By booking, paying for, picking up, receiving, or using the rental tent, the customer confirms that they have read, understood, and agreed to these Terms and Conditions. The customer accepts full responsibility for the tent during the rental period and agrees to pay for any damage, loss, cleaning, repair, or replacement costs caused during their rental or event.
Cancellation policy
Cancellation Policy Customers may cancel their tent rental booking at any time before the scheduled rental date. To help us manage availability, staffing, delivery routes, and other customer requests, we ask that cancellations be made as early as possible. Cancellations made 7 or more days before the event are eligible for a 100% refund. Cancellations made 3 to 6 days before the event are eligible for a 70% refund. Cancellations made within 48 hours of the event are eligible for a 50% refund. Cancellations made after the event date, after delivery, after setup, or once the rental period has started are not eligible for a refund. If severe weather, unsafe ground conditions, high winds, storms, or other safety concerns make setup or use of the tent unsafe, we reserve the right to cancel, delay, or refuse setup. In those cases, we may offer a reschedule option or credit when possible. By booking a rental, the customer agrees to this cancellation policy and understands that refunds, credits, or rescheduling options are subject to timing, availability, and service preparation already completed.
